OFFICE MANAGER
General Duties (Long Form):
-General Office Management. Serve as primary phone receptionist (See phone policy). Assess member and other caller needs and handle or route appropriately. Receive sort and route mail. Prepare and mail official correspondence as requested. Create backup copies of all computer records, including daily backup on hard drive and weekly backup on other media. Inventory supplies, coordinate purchases, and maintain vendor relationships. Liaison with building manager. Oversee cleaning contractor. Monitor proper functioning of office systems. Conduct routine business with National. Maintain official office files and records, both paper and electronic. Oversee temporary office help. Accomplish miscellaneous duties as assigned by Executive Director and /or requested by Asst. E.D for Freelance Contracts.
-Dues and Membership. Post and deposit dues receipts, including monthly dues check-off and other receipts from members. Administer “On-Account” member program, including payment notices. Maintain membership records utilizing the proprietary national AICE database and maintain remaining paper records in Local office. Investigate and correct membership records discrepancies. Act as primary contact with National membership department. Transfer members. Prepare and post submission of receipts to National on a monthly basis. Communicate to members, verbally and in writing, AFTRA dues policies and procedures. Maintain and provide new member packet materials. Implement delinquency communications to members as approved by Executive Director. Create a monthly membership report to Executive Director including new members and all changes in membership status.
-Freelance Performer Payments and Procedures. Clear members for work under freelance contracts. Receive, record, and route payments as per office protocol. Work in consultation and review of the Assistant executive Director, Freelance Contracts, to facilitate delinquent payments and new memberships. Liaison with regional talent check processing center in Cleveland.
-Bookkeeping. Conduct all routine banking and maintain bank records. Track bills, and prepare and submit required accounts payable (for authorized bills) and general ledger worksheets to National when due. Create and post check payments when necessary. Create monthly financial reports for review by Executive Director and Treasurer/Finance Committee.
-Communications to members and others. Coordinate all mailings and printed materials routinely provided to board, members, signatory employers, and others. When advisable, recruit and oversee member office volunteers. Become knowledgeable about AFTRA policies, contracts, and AFTRA Health & Retirement plans to be able to answer routine questions from members and signatories. Make referrals to other staff and National as necessary. Post notices and information on AFTRA Local bulletin board and website(s).
-AFTRA NewsBriefs. Serve as production editor. Published quarterly. This includes coordinating content planning, proof reading, layout, printing, and mailing processes.
Necessary Skills:
-Computer competency in accounting systems (QuickBooks), database (Microsoft Access), spreadsheets (Excel), word processing (Microsoft Word) and publishing (Microsoft Publisher).
-Excellent verbal communication skills. Customer service approach.
-Excellent writing skills. Knowledge of grammar, business correspondence, and basic journalism.
-Familiarity with basic elements of graphic design.
-Basic knowledge of accounting and bookkeeping principles. Competency in math.
-Self motivation. Capability to work with little direct supervision.

Terms and Conditions: This is a full-time position with benefits package including medical, 401(k) and pension plan. Typical work schedule shall be from 8:30 AM to 5:00 PM, Monday through Friday, with one or two evening meetings each month. Competitive salary range depending on experience.
